Activity log, usage and application switches
Audit what the assistant did, read usage and estimated cost, and switch AI features and field rules on or off.
Required permission: ai.activity (log and usage); company.manage (switches)
Before you begin
- The Activity log and Usage tabs need ai.activity. The tabs sit inside AI Assistant > Settings, whose menu entry needs ai.configure, so a person with only ai.activity cannot reach them from the menu yet. Give both permissions to auditors.
- Switches and field rules on Applications > AI Assistant need company.manage. A second administrator approves each change.
Steps
Read the activity log
- Open AI Assistant > Settings > Activity log.
- Sort by a column or search for a tool name.
- Read each row: Time, User, Agent, Server, Tool, Input (redacted), Result (first 300 characters), Status, Records and Duration.
- The status is ok, refused, error or proposed. A confirmation is logged with the action id.
Read usage and cost
- Open Settings > Usage and choose the Period: last 7, 30 or 90 days.
- Read the tiles: Chats, Messages, Tool calls, Actions executed, Files, Tokens, Read from cache, Estimated cost, Answered without the model, Average latency, Errors and Feedback. Use the breakdowns by user, agent and tool.
Switch features and set field rules
- Open Applications > AI Assistant > Features. Switch Agents, MCP servers and Knowledge and files on or off. Chat and drafting cannot be switched off.
- Open Fields and set Agent purpose, MCP server description and Knowledge collection description to Hidden, Optional or Required.
- Propose the change with a reason. A different administrator approves or rejects it.
What happens next
- With a feature off, its menus are hidden, changes through its routes are refused, and existing records stay readable.
- Hidden fields vanish from the form and a new value is refused. Required fields block saving when empty.
Worked example. In 30 days, Claude claude-opus-5 answered with 10,000 input tokens, 2,000 output tokens and 20,000 tokens read from cache. The estimated cost is (10,000 x 5 + 20,000 x 5 x 0.1 + 2,000 x 25) / 1,000,000 = USD 0.11. Answers from the built-in engine appear as Answered without the model and cost nothing.
Good to know
- Inputs in the log are redacted: fields in the never-send list and secrets are masked.
- A proposal that has not been confirmed shows as proposed. Cancelling or letting it expire shows as rejected.
- 'Agents is disabled for this company.' appears when you try to save an agent with Agents off.
- 'Agent purpose is required by this company.' and 'Agent purpose is turned off for this company.' come from the field rules.
- Estimated cost is an estimate; there is no budget or spending cap.
- Reading the log or usage without the permission is refused.
