Calendar overview

What the Calendar app does, who uses it, and how it connects to HR, Sales, Projects and Maintenance.

What Calendar is for

Calendar is where people plan their time: meetings and calls, invitations, repeating events, rooms and equipment, and customer appointments. It also shows, in one view, dates that other modules own, such as leave and public holidays, sales activities, project milestones and maintenance work orders.

Who uses it

RoleWhat they do
Calendar userKeeps their own events, answers invitations, uses rooms, sets reminders and subscribes to their feed.
ReceptionistBooks, confirms and closes customer appointments, and sees rooms.
Calendar administratorRuns shared calendars, rooms and equipment, appointment types, settings and reports.
CustomerBooks and cancels an appointment on a public page, without an account.

Key ideas in plain words

  • My Calendar. Every person gets a personal calendar the first time they open the app.
  • Shared calendars. A team calendar that people read (viewer) or also change (editor). It can be open to everybody in the company or to its members only.
  • Event. A timed, all-day or multi-day item with a kind (Meeting, Call, Task, Reminder, Out of office, Other), attendees, an optional room, reminders, a privacy setting and a Show as setting.
  • Show as. Busy events block your time for free/busy checks and appointment slots. Free events do not.
  • Private. Other people who can read the calendar see only "Busy" and the time. They do not see the title, place, link, notes or attendees.
  • Repeating event. One event that repeats daily, weekly, monthly or yearly. You can change one occurrence, this and the following ones, or the whole series.
  • Resource. A room, piece of equipment or vehicle. It cannot be double-booked.
  • Appointment type. What a customer can book: length, opening hours, notice, buffers, who takes it, and optionally a room and a public booking page.
  • Layers. Read-only items from HR & Leave, Sales, Projects and Maintenance. You change them in their own module.
  • Time zones. Times are stored in UTC and shown in your own zone, falling back to the company zone (Asia/Dubai by default).

How it connects to other modules

ModuleConnection
HRPublic holidays, your approved leave and, with the right, colleagues' leave and payroll dates appear as a layer. Closed-on-holiday appointment types use HR working calendars.
Sales (CRM)Planned activities assigned to you and expected close dates of your open deals appear as a layer.
ProjectsMilestones and project due dates appear as a layer.
MaintenanceWork orders appear as a layer.
ContactsAppointment bookings keep the customer's name, e-mail and phone.

You only see layer items you could open in the owning module.
