Create and change repeating events
Make an event repeat, and change or cancel one occurrence, this and the following ones, or the whole series.
Required permission: calendar.edit
Before you begin
You need calendar.edit. Open the event form from Calendar > Calendar > New Event.
Steps
Make an event repeat
- In the event form find the Repeat block and choose Daily, Weekly, Monthly or Yearly. The default is Does not repeat.
- Set every (1 to 99). For example every 2 weeks.
- For weekly, tick the weekdays. With none ticked, the weekday of the start is used.
- For monthly choose on the same day or on the same weekday. The weekday option works out which weekday of the month the start is (days 1 to 7 are the 1st, 22 to 28 the 4th).
- Choose how it ends: never ends, ends after a number of times (1 to 1000), or ends on an Until date (inclusive).
- Press Save.
Change or cancel part of a series
- Open the occurrence you want and press Edit or Cancel event.
- Choose the scope: This event, This and following events or All events. Back returns without changing anything.
- Make the change and save.
What happens next
- This event: the occurrence becomes its own event (moved, retitled or cancelled). The rest of the series is untouched. Attendees and reminders carry over to the moved one.
- This and following events: the old series ends the day before, and a new series starts at that occurrence with the remaining count.
- All events: the whole series changes. Cancelling all also cancels moved occurrences and releases their rooms.
- The attendees who have not declined are notified.
Worked examples
- Weekly on Monday and Wednesday from Monday 5 October 2026, 09:00, ending after 6 times: 5, 7, 12, 14, 19 and 21 October.
- Weekly on Monday from 5 October 2026, 10 times. Open the 26 October occurrence (the 4th), change the title and choose This and following events. The old series keeps 5, 12 and 19 October; the new series has the 7 remaining occurrences, ending 7 December. The total is still 10.
- Monthly on the same day starting 31 October 2026, 4 times: 31 Oct, 31 Dec, 31 Jan, 31 Mar. Months without a 31st are skipped, not moved, and a skipped month still counts toward the total.
- Monthly on the same weekday starting Tuesday 13 October 2026 (2nd Tuesday): 13 Oct, 10 Nov, 8 Dec, 12 Jan.
Good to know
- 'Repeat daily, weekly, monthly or yearly.' 'Enter a whole number between 1 and 99.' 'End after a number of times or on a date, not both.'
- 'The repeat ends before the first occurrence.' 'Enter a whole number between 1 and 1000.'
- From the first occurrence you cannot choose This and following events: 'From the first occurrence, change the whole series.' Choose All events.
- Monthly on the same weekday for a start on the 29th, 30th or 31st is refused: 'Choose the first to fourth, or the last, weekday.' The screen has no "last" option, so choose the same day instead.
- If you open a later occurrence and choose All events, the form starts from that occurrence's date, so the series restarts on that date and earlier occurrences disappear. To change all events without moving them, open the first occurrence.
- A room on a repeating event is checked for every occurrence (3 years ahead for series that never end). The first clash refuses the save.
- The repeat setting cannot be changed while you edit one occurrence.
