Manage breakdowns, tyres and batteries

Report and resolve a breakdown, and track tyres and batteries from purchase to scrap.

Required permission: fleet.log (report breakdown); fleet.maintenance.view; fleet.edit (tyres, batteries)

Before you begin

  • Tyres and batteries depend on the Tyres and batteries feature switch.
  • To create a repair job from a breakdown you need fleet.workorder.create.

Report and resolve a breakdown

  1. Open Fleet > Maintenance > Breakdowns and click Report breakdown, or use Report breakdown on Vehicle 360. Drivers can use the driver app.
  2. Choose the Vehicle, set When and Where, and describe What happened (required).
  3. Tick Recovery needed if the vehicle must be towed, and enter the Tow cost.
  4. Save.

The vehicle status becomes Breakdown. An Urgent service request is raised when recovery is needed, otherwise High. A running trip is noted.

Then:

  1. Click Recovering while the vehicle is being collected.
  2. Click Work order to create a Repair work order linked to the breakdown. Complete it as described in Service requests and work orders. Completing it resolves the breakdown and records the tow cost as a "Tow / recovery" Maintenance cost.
  3. If no work order is needed, click Resolve. Downtime is worked out from the report time (for example 10:00 to 13:30 is 3.5 hours) and the vehicle returns to Available if no job is open.

Register a tyre

  1. Open Fleet > Maintenance > Tyres and click New Tyre.
  2. Enter the Serial (DOT) (required, unique), brand, model, size, purchase date, cost, supplier and warranty.
  3. Save. The tyre is In stock.

Fit, rotate, check and retire

A tyre costing AED 450 fitted at 20,000 km and removed at 50,000 km has 30,000 km used and a cost per km of 450 / 30,000 = 0.0150.

Register a battery

  1. Open Fleet > Maintenance > Batteries and click New Battery.
  2. Enter the Serial (required, unique), brand, capacity (Ah), voltage (12 if blank), purchase date, cost and warranty.
  3. To fit it, choose Fit to vehicle and Fitted on.
  4. Save.

Fitting marks the battery Installed and any battery already installed on that vehicle as Replaced with today's replacement date. The cost is charged to the vehicle as Maintenance.

What happens next

Breakdowns, tyre costs and battery costs appear on Vehicle 360 and in the Maintenance Costs ledger, the Downtime report and TCO. Fleet > Maintenance > Parts lists every part line used on work orders (the newest 500).

Good to know

  • A duplicate serial is refused: "Tyre DOT-TEST-0001 is already registered."
  • "Front Left already has tyre DOT-TEST-0002." means the position is taken: remove or rotate that tyre first.
  • Only tyres in use or removed can be repaired or retreaded.
