Fleet troubleshooting
The messages you may meet in Fleet, what they mean and how to fix them.
Messages and fixes

| 'Plate A 12345 is already on VHC-000001.' | Another active vehicle has the same plate, country and emirate | Open that vehicle, or correct the plate or emirate |
| 'VIN JTFBV71J8B0000001 is already on VHC-000002.' | VINs are unique across the company, including sold vehicles | Check the VIN; open the other vehicle |
| 'Somebody else changed this vehicle. Reload it and try again.' | Someone saved the record after you opened it | Reload, then repeat your change |
| 'End the driver's assignment first.' | The vehicle still has an active assignment | End it on Fleet > Fleet > Assignments, then retry |
| 'Sell or scrap a vehicle through Dispose, so the disposal is recorded.' | Sold and Scrapped cannot be set as a status | Use Sell / scrap / return on Vehicle 360 |
| 'VHC-000001 is under maintenance.' | A vehicle that is not in service cannot be assigned | Complete the work order or change the status |
| 'Ali is on approved leave 2026-10-01 to 2026-10-10.' | HR shows approved leave over the assignment | Choose another driver or dates |
| 'This vehicle belongs to another branch, and cross-branch assignment is not allowed.' | Fleet Settings forbid it | Choose a same-branch driver, or change the setting |
| 'VHC-000003 is already booked then (RSV-00002).' | The booking overlaps another | Choose another time or vehicle |
| 'Somebody other than the person who asked has to approve it.' | You are trying to approve your own request | Ask another approver |
| 'You cannot approve this.' | You lack the approver permission named on the rule | Ask a person who holds it |
| 'Somebody other than the person who entered it reviews it.' | You cannot clear your own fuel fill | Ask another reviewer |
| 'This fill is posted to the ledger and cannot be deleted.' | The fill has already been posted | Leave it, or correct through a new entry |
| 'Only 8 of OF-TEST is available at WH-MAIN.' | Not enough stock to issue | Receive stock, or reduce the quantity |
| 'Parts have been issued - return them to stock in Inventory before cancelling.' | The work order has issued parts | Return the parts in Inventory, then cancel |
| 'A closed work order cannot be changed.' | Completed or cancelled orders are locked | Create a new work order |
| 'Choose the garage (vendor) first.' | No vendor on the work order | Pick the vendor, then raise the purchase order |
| 'This document has already been renewed.' | A document renews once | Open the newer document |
| 'This fine is already recorded as FIN-00001.' | Same authority and reference already entered | Open that fine |
| 'A fine already recovered from salary cannot be changed.' | The fine is approved, queued or deducted | Leave it, or ask HR |
| 'An approved expense cannot be changed.' | Approved expenses are locked | Enter a correcting expense |
| 'Choose a period of at most ten years.' | The report period is too long | Shorten the dates |
| 'Account 99999 is not in the chart.' | A posting account code does not exist | Enter a code from the chart of accounts |
| 'You are not set up as a driver. Ask the fleet team to add your driver profile.' | Your user has no driver profile | Ask the coordinator |
| 'You cannot see driver documents.' | You lack fleet.driver.view | Ask an administrator for the permission |
