Physical checks and asset reports
Record that an asset was found, missing or damaged, and read the asset register and the roll-forward that ties the register to the ledger.
Before you begin
- The asset is Running.
- asset.manage is needed to record a check. asset.view is enough for the register and roll-forward.
Record a physical check
- Open the asset and press Record a check.
- Choose the Result: Found, Missing or Damaged.
- Enter the Checked on date (blank is today), Where (it starts as the asset's location) and a Note.
- Press Save.
A row is added to the Physical checks card. A Missing or Damaged result is marked To investigate. The books never change. Cost, depreciation and book value stay as they were, and a write-off needs a Disposal.
Asset register
- Open Fixed Assets > Reporting > Asset register.
- Pick the As of date (blank is today).
- Read each capitalised asset: number, category, location, in-use date, cost, depreciation, impairment, book value and status.
The register shows the financial book. Assets acquired after the date are not listed, drafts never appear, and an asset disposed before the date shows as Disposed with zero balances.
Example. An asset of AED 1,200.00 in use from 01/07/2026 has two months posted. As of 31/08/2026 it shows cost 1,200.00, depreciation 200.00 and book value 1,000.00.
Asset roll-forward
- Open Fixed Assets > Reporting > Asset roll-forward.
- Pick From, To and the Book. The report reloads as you change them.
- Read the table per category: Opening cost, Additions, Disposals, Closing cost, Opening depreciation, Depreciation, Depreciation disposed, Closing depreciation, Impairment and Book value.
- For the financial book, read the Against the ledger table. It shows the register figure, the ledger figure and the difference for the cost and accumulated depreciation accounts, with a badge: Agrees or Differences.
Worked example. Opening cost AED 1,000.00, additions AED 500.00 and disposals AED 200.00 give closing cost AED 1,300.00. If the ledger also shows 1,300.00 the difference is 0.00 and the badge says Agrees. If a manual journal posted AED 50.00 to the asset cost account, the ledger shows 1,350.00 and the badge says Differences.
A tax or management book shows its own depreciation and has no ledger table, because it posts nothing.
Using the Assets list
Fixed Assets > Assets has tabs Running (default), Draft, Disposed and All. Search by number, name, tag, serial or location, and sort by number, name, tag, in-use date, cost, status or location. The list figures equal those on the asset record.
What happens next
If the roll-forward shows a difference, find the journal posted outside Fixed Assets. See Run monthly depreciation for the cause of partly posted runs.
Good to know
- The roll-forward does not show depreciation brought in with opening-balance assets as a column, so the depreciation columns may not add up on screen when you added opening assets in the period.
- The Impairment column is the closing balance, not the movement, and the ledger table covers cost and accumulated depreciation only.
- The Assets list has no column filters.
