Record cash in, cash out and safe drops
Move cash into or out of the drawer during a session and keep the expected cash correct.
Required permission: pos.cash.move
Before you begin
- You have an open session and the pos.cash.move permission.
- You know the amount and the reason.
Steps
- On the sell screen press Cash in/out (F11).
- Choose the movement: Cash in, Cash out or Safe drop.
- Type the Amount. It must be more than zero.
- Type a Reason (up to 300 characters), for example
Bank deposit. - Press Record. A message shows the drawer now: for example 'Drawer now 600.00'.
Press Back to leave without recording.
When to use each
| Movement | Use it for | Effect on expected cash |
|---|---|---|
| Cash in | Change brought from the bank, extra float | Adds |
| Cash out | Paying a courier, a small supplier, a refund from petty cash | Subtracts |
| Safe drop | Moving surplus cash to the safe during the day | Subtracts |
What happens next
- The movement is saved against the session, with the cashier and time. Cash out is stored as a negative amount.
- A transfer journal posts to Finance for the movement.
- The movement shows in Point of Sale > Operations > Cash in / cash out. Safe drops also show in Cash drops.
- Cash out and safe drops appear in Transactions > Exception transactions so a manager can review them.
Worked example
Float 500.00. Cash sales (cash received less change) total 1,250.50. You record cash in 100.00, cash out 50.00 and a safe drop of 700.00.
Expected cash = 500.00 + 1,250.50 + 100.00 - 50.00 - 700.00 = 1,100.50 AED.
Card, QR and gift card payments add nothing to the drawer.
Rules that refuse a movement
| Situation | Message |
|---|---|
| Amount zero | 'Enter an amount greater than nothing.' |
| Taking out more than the drawer should hold | 'The drawer holds 1100.50, so 1200.00 cannot be taken out.' |
| Unknown movement type | 'steal is not a cash movement.' |
Nothing moves when a movement is refused.
Good to know
- The system keeps one movement per identifier. If a retry sends the same movement again (for example after a timeout), the first one is returned and the cash does not move twice.
- You can record a movement while offline. It is queued and uploads with your other items; the till shows 'Queued - will sync'.
- The profile has a safe drop threshold (5,000.00 in
RETAIL) and maximum drawer cash (10,000.00). They are stored and shown to the till but the system does not warn you or block a sale when you pass them. Supervisors should watch drawers on the dashboard. - Reason codes (such as
CASHOUTandDROP) exist in the list, but the till takes free text only. - A cash movement is not edited afterwards. To correct a wrong entry, record the opposite movement with a reason that explains it.
- The approver field of a movement is stored as given; the system does not check that the person may approve.
