Hold stock for quality and run a recall
Quarantine stock, hold it where it sits, release it with the quality right, and recall a lot from customers.
Before you begin
The Recalls and held stock switch must be on. Holding stock needs inventory.operate. Releasing it back to available needs inventory.quality.release. Recalls need inventory.recall.
Held stock cannot be reserved, delivered or sold. The statuses are Available, Quality hold, Quarantine, Blocked, Damaged, Expired, Recall hold and Restricted.
Move stock to a held status
- Open Inventory > Operations > Held stock.
- Click Change status.
- Choose the From location, Product and Lot.
- Choose the New status and the Quantity. You cannot move more than is there.
- Add a Reason and confirm.
The units move to a status location. To bring them back, use Release held stock; without the quality release right the system refuses: 'Releasing held stock needs the quality release right.' A lot can also carry its own status; releasing a recalled lot happens only on its recall.
Hold stock in place
This keeps the units on their shelf.
- Open Inventory > Operations > Held in place and click Hold stock.
- Choose Product, Location, and Lot / Serial for tracked products.
- Enter the Quantity, no more than the free (unreserved) stock there.
- Choose Hold as and, if useful, Why.
- Click Hold.
To finish, click Release, enter the quantity and optionally a new status and a release note. You cannot release more than is held, or release the same hold twice. Change status swaps one held status for another.
Run a recall
- Open Inventory > Operations > Recalls and click New recall.
- Choose the Product, the affected Lots and the Reason.
- Click Create recall, then Start the recall: hold the lots.
The lots go to Recall hold, and reservations for them on ready deliveries are released so those deliveries go back to waiting. The recall's trace shows where the lot is: in stock, shipped to customers, still reserved, returned and made into other products. Use it to contact customers.
When ready, close each lot:
- Clear returns the lot to its previous status.
- Dispose blocks it and writes the stock off.
A recall is Closed when every lot is closed. You can only close lots of an active recall.
Example
Lot LOT-2026-01 has 4 units held for quality, then a supplier recall notice arrives. A quality officer creates a recall for the lot and starts it. A sales order for the lot stays waiting. After the units are returned, the officer disposes the lot and the stock is written off.
Good to know
- Clearing a recalled lot currently needs only the recall right, not the quality release right. Treat clearing as a decision for the quality officer.
- Open recalls and held stock appear in the Exception centre.
