Check stock value against the ledger

Read the valuation, reconcile it to the inventory account, and use the aging, expiry, turnover and exception reports to find problems.

Before you begin

Every report here needs only inventory.view and shows only your active company. Cost and value figures are visible to every viewer.

Reconcile stock to the ledger

  1. Open Inventory > Reporting > Valuation (AVCO). Note the company total. Filter by Warehouse, Category, Brand, Branch or Lot as needed and use Clear filters to reset.
  2. Open Inventory > Reporting > GL reconciliation. The banner shows Valuation, Ledger, Difference and whether it is Reconciled or Not reconciled. This view always uses today's totals.
  3. If it is not reconciled, open Inventory > Reporting > Inventory to ledger and set As at to the date you care about, such as month end.
  4. Read the tables:
    • journals on the stock account that no stock posting made (for example a manual journal)
    • stock layers with no journal
    • valuation by product
  5. Correct the cause: reverse the manual journal, or post the missing document. Reopen the report and confirm the difference is 0.00.

Example: valuation 125,000.00 and the account 125,000.00 are reconciled. A manual journal debits the inventory account by 500.00. The ledger becomes 125,500.00 and the difference -500.00; the journal appears in the first table.

Worked valuation example

Receive 100 at AED 10.00, then 50 at AED 16.00. Quantity 150, value AED 1,800.00 (1,000 + 800), unit cost AED 12.00. Deliver 60: AED 720.00 leaves and 90 units worth AED 1,080.00 remain. Delivering the last 90 takes exactly 1,080.00.

Turnover and fill rate

Turns = cost of goods issued in the last 365 days divided by average stock value. If issues are AED 120,000 and opening and closing values are 40,000 and 60,000, the average is 50,000, turns are 2.40 and days of cover are 365 / 2.4 = 152. Slow stock has been idle for at least the number of days you set (default 90); dead stock has been idle twice that or never moved. Fill rate covers the last 90 days.

Exception centre

Sorted High, Medium, Low. High: negative stock, expired lot still available, open recall, retest overdue, reconciliation difference. Medium: late transfer, blocked task, recount waiting, proposal not approved. Low: stale estimates and held stock. An empty list says 'Nothing needs attention.'

Good to know
