Plan and perform inspections

Build an inspection checklist, run it on an asset, and see how a failed check raises a request.

Required permission: maintenance.edit (inspect); maintenance.configure (templates)

Before you begin

  • Inspections must be on in Administration > Applications > Maintenance > Features. If it is off, the menus go and new inspections are refused: 'Inspections is disabled for this company.'
  • You need maintenance.edit to plan and perform inspections, and maintenance.configure to build templates.

Build a template

  1. Open Maintenance > Configuration > Inspection Templates. Four starter templates exist: Daily, Safety, Pre-Start and Annual.
  2. Click New Template.
  3. Enter the Code, Name and Frequency (daily, weekly, monthly, quarterly, yearly, pre start or shutdown).
  4. Add the checks. For each, enter the Check (the question), the Response type (Pass/Fail/N/A, Measurement, Text or Photo), Min, Max and Unit for measurements, and tick Fail raises request where a failure matters.
  5. Click Create.

At least one check is needed ('Add at least one question.'), and every check needs a question ('Line 1 needs a question.').

Plan an inspection

  1. Open Maintenance > Operations > Inspections and click New Inspection.
  2. Choose the Template, the Asset, Scheduled On (default today) and the Inspector.
  3. Click Create.

It is numbered INS-00001, status Planned, with the template's checks copied in. An inspection can also be created from a work order with More > New Inspection, which takes the asset from the job. A preventive plan with an Inspection Checklist creates one automatically for each job it generates.

Perform it

  1. Open the inspection.
  2. Answer each check: Pass, Fail or N/A; for a measurement type a number; for text type a note. Add a note per check if needed.
  3. Click Save. The status becomes In Progress.
  4. Click Complete Inspection when every check is answered.

If a check is not answered, the system says 'Answer every check first: <question>'. A measurement passes when it is between the minimum and maximum. Example: a pressure check with limits 5 to 8 bar and an answer of 8.5 is marked failed in red. Text answers always count as passed. A photo answer is a text reference only, because photo capture is not available yet.

What happens next

The result is PASS or FAIL, and the inspection is locked: 'This inspection is already done.'

If the result is FAIL and A failed inspection raises a maintenance request is on, one request is created per inspection, 'Failed inspection INS-...', priority and severity High, source Inspection, listing the failed checks. Open it from the Request smart button, approve it and make a work order: Report issues and handle requests. Turn the setting off and a failure produces a FAIL result but no request.

Reports

Maintenance > Reports > Inspection lists inspections created in the period with number, template, asset, dates, status and result. Use Export CSV to download.

Good to know

  • The inspection filter on the list is Planned, In Progress, Done or Failed.
  • Inspections show on the calendar on their scheduled date.
