Maintenance troubleshooting

The messages you can meet in Maintenance, what they mean and how to fix them.

Messages and fixes

'You do not have permission for this action.'Your role lacks the permission for this action, or for money amounts.Ask the administrator for the permission, for example cost view for purchase cost, rates and visit cost.
'Another asset already has that code.'Asset codes are stored in capitals and must be unique.Choose a different code or leave it empty for an automatic one.
'Someone else changed this asset. Reload it and try again.'The record was saved by another person after you opened it.Reload, then repeat your change.
'An asset cannot sit under itself or its own child.'The parent you chose would make a loop.Choose an asset outside the branch.
'That asset is no longer in service.'The asset is Decommissioned or Disposed.Create the job on an active asset, or change the asset's status.
'Say which asset it is about before approving it.'A request without an asset cannot be approved.Ask the requester for the asset, then approve.
'Approve the request before making a work order from it.'The company requires approval and the request is undecided.Approve it first, or ask the administrator about the setting.
'A request is changed only before it is decided.'The request is approved or rejected.Reject and report again, or put the change in the work order.
'Approve the work order before starting it.'The company requires approval of work orders. The same message exists for scheduling and assigning.Open More > Approve with a person who has approval rights.
'Assign a technician before starting.'No technician is on the job.Click Assign and choose one.
'Say why the job is paused.'The pause reason is empty.Type a reason. Similar messages exist for cancel and reopen.
'N task(s) are still open. Finish or skip them first.'Tasks are Open or In Progress.Mark them Done or Skipped (with a result).
'Record what failed (failure code and cause) before completing a repair.'A repair job has no failure record.Choose a failure code and cause in the Complete dialog or in Failure Analysis.
'Return the issued parts before cancelling.'Parts were issued and not returned.Use Return Unused, then cancel.
'A closed work order's costs are final. Reopen it first.'The job is Closed.Reopen the job if the cost must change.
'This company closes a job only with its costs recorded.'The setting requires a total cost above 0.Record labour, parts or other cost, then close.
'Only 1 of <code> is available at <warehouse>.'There is not enough free stock to issue.Issue less, request the shortage, or receive stock first.
'Issued parts are returned, not deleted.'An issued part line cannot be removed.Return the parts, then change the line.
'This counter was at 12600 h. A smaller reading is recorded as a meter reset.'A counter reading is lower than the current value.Check the reading. If the meter was replaced, tick the reset box.
'This asset already has that meter.'One meter of each type per asset.Use the existing meter.
'Answer every check first: <question>'An inspection check is unanswered.Answer it, then complete.
'The warranty is not valid today, so there is nothing to claim.'The warranty has expired.Check the dates, or add the right warranty.
'Nothing is due.'No plan job is due, or a job from each plan is already open.Check the Due list, or use Generate Next Now on the plan.
'Inspections is disabled for this company.'The feature is switched off.The administrator turns it on under Administration > Applications > Maintenance.
'Asset serial number is required by this company.'The field rule is Required.Enter the value.
'This work order already has a purchase order.'Only one purchase order per job.Open the existing purchase order in Purchase.

When a list looks wrong

  • My Work is empty. The user is not linked to an employee, or the employee is not a technician.
  • A calendar plan did not create jobs. Plans create jobs only when Generate Due Work Orders is clicked, or on a meter reading.
  • A cost column or tab is missing. The user does not hold the cost permission.
