Log time and submit your timesheet

Record hours by day, project and task, spot missing days and submit the period to your manager.

Required permission: ess.timesheet

Before you begin

  • You hold the timesheet permission and the Time and attendance switch is on.
  • Tasks assigned to you can be picked in the entry form.
  • Your manager holds the timesheet-approval permission.

Log time

  1. Open Employee Self Service > Timesheets.
  2. Choose Week or Month and use the arrows to move.
  3. Click Log time.
  4. Choose the Date. It can be at most 7 days ahead.
  5. Enter the Hours, in steps of 0.25, for example 7.5.
  6. Choose the Task if there is one. The project is filled from the task. Otherwise type the Project.
  7. Type What was done.
  8. Tick Billable to a client if it is.
  9. Click Save.

The messages are:

  • 'Choose the date.' and 'That date is too far ahead.'
  • 'Enter the hours.' for a blank value and 'Enter between 0 and 24 hours.' for 0 or 25.
  • 'A day has 24 hours; this would log more.' when the day's total would go over 24. Example: 8 hours already logged plus 16.5 more.
  • 'That task is not yours.' for someone else's task.

Time you log on a task with its timer or Log time (see Tasks and timers) creates a draft entry here too.

Find missing days

The day strip highlights missing days: working days up to today with 0 hours. Weekends show as off. Example: today is Friday 2 October and you logged Monday to Wednesday only. Thursday and Friday show as missing.

Submit the period

  1. Review the entries table: Date, Project, Task, Hours, Description, Status.
  2. Click Submit this period to my manager.

All Draft and Rejected entries in the period become Submitted, and your manager is notified. A second click answers 'There is nothing to submit in that period.'

What happens next

Your manager approves or returns the week. Approved entries become Approved and you are notified. A returned week shows entries as Rejected with the manager's note, such as 'Fri entry wrong project'. Delete the entry and log it again, then submit. Through the interface a rejected entry can also be edited, which sets it back to Draft.

Good to know

  • You can delete only Draft or Rejected entries. A submitted one answers 'A submitted entry cannot be deleted.' and cannot be changed by you: 'A submitted entry is changed by its approver only.'
  • If the company switches off Time and attendance, you can read but not change entries. Task timers can still log time even then.
  • Reminders: Home lists 'Submit timesheet' for a working day with nothing logged.
